Buzz OS — Privacy Policy

Buzz OS (os.buzzaccounting.co.uk) is the internal practice management system of Buzz Accounting Ltd ("we", "us"), a UK accountancy practice. It is used by our team to manage client relationships, accounting work, and communications. This policy explains what personal data the system processes and why.

Who we are

Buzz Accounting Ltd is the data controller. Contact: hello@buzzaccounting.co.uk. We are registered with the Information Commissioner's Office (ICO) and supervised for anti-money-laundering purposes as an accountancy service provider.

What we process

Client data: business and contact details, statutory identifiers (company numbers, UTRs, VAT and PAYE references), accounting records, deadlines, correspondence and documents — processed to deliver accountancy services under our engagement letters (legal bases: contract performance and legal obligation).

Staff data: employment and HR records for our own team (legal bases: contract and legitimate interests).

Enquiries and communications:messages sent to us by email (including hello@buzzaccounting.co.uk), our websites' contact forms, WhatsApp, and social media messaging are logged in Buzz OS so we can respond and keep a record of client service (legal basis: legitimate interests).

Google user data

Buzz OS connects to Google Workspace (Gmail, Calendar, Drive) with each team member's consent, and to our shared practice mailbox, to send and receive client correspondence, sync work deadlines, and file documents. Buzz OS's use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Google user data is used only to provide these internal practice-management features, is never sold, and is never used for advertising.

Meta platforms

Where clients contact us via WhatsApp, Facebook Messenger or Instagram, message content and sender details are received via Meta's APIs and logged in Buzz OS solely to respond and keep a service record. We do not use this data for advertising or share it with third parties.

Where data lives & who sees it

Data is stored in access-controlled cloud services (database hosting by Supabase, site hosting by Netlify) with encryption in transit and at rest. Access is limited to Buzz Accounting staff. We share personal data only with service providers processing it on our instructions, with regulators/HMRC/ Companies House where required to deliver our services or by law, and never sell it.

Retention

Client records are kept for the periods professional and tax law require (normally six years after the end of the engagement), then deleted. Enquiry data with no ongoing relationship is removed periodically.

Your rights

You have the rights UK GDPR provides — access, rectification, erasure, restriction, objection and portability — and the right to complain to the ICO (ico.org.uk). To exercise any of them, email hello@buzzaccounting.co.uk.
